Step five: complete your enrolment via the WES
Once you have activated your Authcate account, log into the university’s Web Enrolment System (WES) to complete some of the administrative enrolment requirements. Your Authcate username and password, along with your date of birth or postcode, are required for login: https://my.monash.edu.au/wes/
What is the WES
The Web Enrolment System, usually called the WES, is the computer based system that allows you to enrol in your units on-line, from anywhere in the world. Using the WES you must also complete your Enrolment Questionnaire and your CSP HECS-HELP application (for CSP students only).
IMPORTANT!
When you successfully complete any on-line transactions using your Monash username and password (e.g. your Enrolment Questionnaire) you will receive transaction numbers (like when you use on-line banking systems).
Note: A transaction number will commence with either a Q (for ‘Enrolment questionnaire’) or C (for ‘CSP and HECS-HELP’ form).
Transaction numbers are your proof that you have successfully completed any on-line transactions - a copy of all transaction numbers are automatically sent to your Monash student email account: ALWAYS keep a copy of these as they are your evidence.
What to do via the WES
Before your enrolment day (or deadline for students enrolling fully on-line) you must use the Web Enrolment System (WES) to complete your:
- Postal, Emergency and Mailing Format information
- Enrolment Questionnaire (for all students)
- CSP HECS-HELP application (for CSP students only)
- Unit enrolment (VTAC Round 1 Undergraduates only)

You may also be asked to enrol in your units on-line. You will be able to do this once you have completed the three steps above. On-line unit enrolment is required during January enrolments for VTAC Round One undergraduates.
VTAC Round Two undergraduates will complete their unit enrolment manually on their enrolment day.
How to use the WES
The WES is set up to take you step by step through each stage - it is just like doing your banking via the Internet. Once you have logged into the WES you go into the Enrolment section and complete the information in each of the modules mentioned above. You need to do each of the modules in the order they appear in the WES as each module is only activated once you have completed the necessary information in the one before it.

Once you have completed the required steps you will then visit your student email account (you can access this via your my.monash portal) and print out the confirmation emails for steps 2 - 3 above. Confirmation emails are sent to your student email account automatically every time you successfully use the WES.
IMPORTANT: what you enrol in via the WES can be changed
If you are unsure of what units to enrol in, or even if you have successfully used the WES but now want to change your mind you can.
When you come to enrol we will check that the units you have added are suitable, and advise you of any changes that may need to be made - what you put in before enrolment day is not irreversible. But there are deadlines and missing some of them could cost you thousands of dollars over the duration of your whole course. The WES is open until the end of the second week of each semester, and you can amend your enrolment twenty-four hours a day, seven days a week.
What if you were unable to use the WES
Students are required to do as much of their enrolment on-line as possible before enrolment day. This is because the WES is the Monash student administrative interface and is used to access results after exams, re-enrol each year, and do a number of other administrative tasks relating to your course. The sooner you feel comfortable with the WES the easier you will find it to deal with the administrative matters related to your course.
IMPORTANT!
Many students will be enrolling at the same time as you so the more steps you complete on-line means less time spent waiting in queues.
If for some reason you are unable to complete your Enrolment Questionnaire, CSP HECS-HELP form, or your Unit enrolment, do not panic! You will be able to enrol in person on the enrolment day listed in your offer letter. Simply do all the thinking about your enrolment before the day and come in prepared to manually enrol.
